Integrate The Hit List with 2Do: Tasks on your iPhone

If you are like me, you have been wait­ing for quite a while now for the iPhone ver­sion of the GDT man­ager The Hit List. Even though a screen­shot of the iPhone app has sur­faced on Flickr in late Decem­ber, I decided to find another way of tak­ing my tasks with me on the iPhone until the mobile ver­sion is released. With 2Do, a beau­ti­ful task man­age­ment app from Guid­ed­Ways, and iCal that is now possible.

I did a com­pre­hen­sive review of 2Do which you can find at iPhone.appstorm.net, the new site for iPhone app reviews. You can read up on the app in detail there. Build­ing on that, I’ll show you how you can take your tasks from the The Hit List with you on your iPhone in con­junc­tion with 2Do.

Set up iCal

Before you can prop­erly sync with The Hit List, you need to set up cal­en­dars in iCal. Depend­ing on your work­flow, you will have sep­a­rate cal­en­dars for indi­vid­ual projects, clients or work areas. What­ever works fine for you is ok. Just keep in mind that your iCal struc­ture should in some way relate to your THL structure.

Set up The Hit List

Depend­ing on your per­sonal work­flow, you’ll man­age your tasks in fold­ers, lists or smart fold­ers. In addi­tion, tasks and con­texts can help you refine your work­flow. I will not go into detail about any GTD method; if you’re using THL you’ll know your way around.

Go to the pref­er­ences of The Hit List and select the ‘iCal Sync’ option. Make sure that you check the check­mark box for the option ‘Sync with the sys­tem cal­en­dar’.

Then select the cal­en­dar you want to sync tasks to on the left side of the pref­er­ences win­dow. Only then you can pick either tags or lists on the right side of the win­dow to sync with. Again, which option you choose depends on your own way of working.

Once you got your tasks synced with iCal, and you have down­loaded 2Do to your iPhone, down­load and install the Mac Sync Helper.

When you are on the same WiFi net­work — and this ONLY works if your Mac (hope­fully for your Win users soon the PC as well) and your iPhone are on the same wire­less net­work — ini­ti­ate the sync from your mobile app.

You have to pair the apps first by select­ing the Sync option within 2Do and then tap­ping ‘Com­put­ers’ in the top left cor­ner. All avail­able com­put­ers with the ToDo Helper installed will be shown. Select one and fol­low the pair­ing instruc­tions. After you are done, sim­ply sync.

Voilà, there you go! Your THL tasks on the iPhone! Enjoy!

    Thanks for this writeup. Does it work well the other way too? Mean­ing when you add a task using 2Do, then sync, does it appear prop­erly in The Hit List? Any caveats we should be aware of?
